Job Summary
The Office Coordinator plays a crucial role in managing the daily operations of the organization, ensuring smooth and efficient operational and administrative functions. This individual provides essential support across multiple departments, including Administration, Finance, Community Engagement, and Human Resources, while also assisting with various other business activities.
Key attributes of a successful Office Coordinator include professionalism, strong organizational skills, reliability, and a proactive, resourceful attitude. This role is vital in ensuring that all organizational operations run seamlessly and contribute to the overall success of the organization.
Key Responsibilities
- Act as the primary point of contact for facility-related matters, coordinating necessary services such as plumbing, security, and other maintenance needs.
- Oversee office coordination, including directing employees to the appropriate personnel or resources, scheduling meetings, ordering office supplies, and managing inventory to maintain a well-organized and efficient workplace.
- Administer the document filing, retention, and destruction processes, ensuring compliance with established schedules and organizational policies.
- Manage the processing and distribution of incoming and outgoing mail in a timely and organized manner.
- Coordinate and prepare materials for meetings, providing logistical support as requested to ensure effective and efficient gatherings.
- Perform accurate and timely data entry, maintaining up-to-date records as needed.
- Take on additional duties as assigned, contributing to the overall success and operations of the office and the organization.
Qualifications
- Post-Secondary education in Business Administration, or related field is an asset
- Previous experience in a similar role required
- Experience using ADP Workforce Now strongly preferred
- Proficiency with Microsoft 365 suite of applications (Word, Excel, PowerPoint, Outlook, SharePoint) required
- Excellent written and oral communication skills
- Police Record Check with Vulnerable Sector Check
- Child Intervention Record Check
