Job Summary

 

The Executive Assistant plays a pivotal role in ensuring the seamless functioning of Radius by providing high-level administrative support to the Executive Director and the leadership team. This individual is responsible for a variety of office, clerical, and operational tasks that span across multiple departments, including Administrative, Finance, Community Engagement, and Human Resources.

 

The ideal candidate will be a seasoned professional with advanced organizational and communication skills, a proactive approach to problem-solving, and the ability to manage multiple complex responsibilities efficiently.

 

Key Responsibilities

 

  • Provide comprehensive support to the Executive Director, including calendar management, strategic communications, travel arrangements, and routine administrative tasks, ensuring that the Executive Director’s time and priorities are optimized.
  • Oversee logistics, documentation, and record-keeping for the Radius Board of Directors, working closely with the Executive Director to ensure all board meetings, materials, and communication are prepared and executed with precision.
  • Support Community Engagement and Fund Development initiatives, including coordinating events, preparing materials, and managing communications to ensure successful fundraising and community outreach efforts.
  • Serve as the primary point of contact for external partners, vendors, and service providers, managing relationships and facilitating communication to support organizational operations.
  • Develop and maintain efficient document filing, retention, and destruction processes in accordance with organizational policies, ensuring easy access and compliance with regulatory standards.
  • Coordinate the processing and distribution of all incoming and outgoing mail, ensuring timely delivery and appropriate handling of sensitive correspondence.
  • Prepare detailed reports for funders and ad hoc requests, providing accurate and timely data to support internal and external reporting requirements.
  • Handle the coordination of meetings, including preparing agendas, gathering materials, taking minutes, and managing follow-up action items to ensure that all meetings are productive and well-organized.
  • Perform data entry and manage databases with a high level of accuracy, ensuring all records are current and accessible.
  • Contribute to a variety of ad hoc projects and tasks as needed, demonstrating flexibility and a willingness to take on new challenges to support the organization’s goals.

 

Qualifications

 

  • Post-secondary education in Business Administration, Human Resources, or a related field is preferred.
  • Minimum of 3-5 years of experience in an Executive Assistant or similar role, with a proven track record of supporting senior leadership in a fast-paced environment.
  • Advanced proficiency with Microsoft 365 suite (Word, Excel, PowerPoint, Outlook, SharePoint) and experience with project management tools.
  • Strong experience with ADP Workforce Now or similar HRIS systems is highly desirable.
  • Exceptional written and verbal communication skills, with the ability to effectively interact with a diverse range of stakeholders, both internal and external.
  • Proven ability to manage multiple tasks, prioritize effectively, and work autonomously with minimal supervision.
  • Demonstrated experience in managing confidential information with the highest level of integrity.
